Overview
Creating user accounts in VeriFood is simple and takes just a few minutes. This guide will walk you through the process of adding new team members to your VeriFood account.
Prerequisites
Before you begin, make sure you have:
- Admin or Manager permissions in VeriFood
- The new user’s email address
- Their assigned role defined (Admin, Manager, or Team Member)
Step-by-Step Guide
Step 1: Access the Users Section
- Log in to your VeriFood dashboard
- Click on Settings in the left sidebar
- Select Users & Permissions from the menu
- Click the Add User button in the top right corner
Step 2: Enter User Information
Fill in the following required fields:
Basic Information:
- First Name - The user’s first name
- Last Name - The user’s last name
- Email Address - This will be their login username
Role Assignment:
- Admin - Full access to all features and settings
- Manager - Can manage users, view reports, and configure locations
- Team Member - Can complete tasks and log data
Step 3: Configure Permissions
Set specific permissions for the user:
- Location Access - Select which locations this user can access
- Task Permissions - Choose which task types they can complete
- Reporting Access - Determine what reports they can view
Example Configuration for a Team Member:
Locations: Kitchen 1, Cold Storage
Tasks: Temperature Logging, Cleaning Checklists
Reports: View only their own data
Step 4: Set Notification Preferences
Configure how the user receives alerts:
- Email Notifications - Toggle on/off
- SMS Alerts - Add mobile number if enabled
- Alert Types - Select which notifications they receive:
- Temperature alerts
- Task reminders
- Compliance notifications
- Daily summaries
Step 5: Send Invitation
- Review all information for accuracy
- Click Send Invitation
- The user will receive an email with:
- Welcome message
- Login link
- Temporary password
- Getting started guide
Email Preview:
Subject: You've been invited to VeriFood
Hi [First Name],
You've been added to [Company Name]'s VeriFood account as a [Role].
Click here to set your password and get started: [Link]
Your login email: [Email]
Step 6: User Activation
The new user needs to:
- Click the activation link in their email (valid for 48 hours)
- Create a secure password (minimum 8 characters)
- Enable two-factor authentication (recommended)
- Complete their profile setup

Send them training materials:
- Quick start guide
- Video tutorials
- Role-specific documentation
Schedule onboarding:
- Walkthrough of their assigned tasks
- Overview of the dashboard
- Q&A session
Set up their first tasks:
- Assign sample tasks to practice
- Monitor their progress for the first week
- Provide feedback and support
Troubleshooting
User didn’t receive invitation email
Solution:
- Check the spam/junk folder
- Verify email address is correct
- Resend invitation from Users page
- Contact support if issue persists
User can’t access certain features
Solution:
- Verify their role permissions
- Check location assignments
- Review feature-specific permissions
- Update settings if needed
Need to change user role
Solution:
- Go to Settings → Users & Permissions
- Click on the user’s name
- Select Edit User
- Change role and save
Bulk User Import
For adding multiple users at once:
Step 1: Download Template
- Go to Settings → Users & Permissions
- Click Import Users
- Download the CSV template
Step 2: Fill in User Data
The template includes these columns:
- First Name
- Last Name
- Role
- Location IDs
- Phone Number (optional)
Example CSV:
First Name,Last Name,Email,Role,Location IDs,Phone
John,Smith,john@example.com,Team Member,"1,2",555-0123
Jane,Doe,jane@example.com,Manager,"1,2,3",555-0124
Step 3: Upload and Review
- Upload the completed CSV file
- Review the preview of users to be created
- Fix any errors highlighted in red
- Click Import Users
